Privacy Policy

Last updated October 20, 2026

This Privacy Notice for Solucion One LLC ("we," "us," or "our") describes how and why we might access, collect, store, use, and/or share ("process") your personal information when you use How You Sound (the "Services"), including when you:

  • Visit howyousound.com, use How You Sound in the browser, or install the Mac, Windows, or Linux app.
  • Keep a library of recordings, transcripts, notes, and chats on this computer, or in an account.
  • Sign in with email or Google.
  • Paste your own API key so transcription or the assistant runs with a provider you chose.
  • Contact us about the Services.

Questions or concerns? Reading this notice will help you understand your privacy rights and choices. We are responsible for decisions about how your personal information is processed. If you do not agree with our policies and practices, please do not use the Services. If you still have questions, contact us at contact@solucion.one.

Summary of key points

This summary provides key points from our Privacy Notice. More detail is in the sections below.

What personal information do we process? It depends on whether the library stays on your computer or in an account, and on whether transcription uses a key you pasted or the allowance on a paid plan.

Do we process sensitive personal information? We do not ask for racial or ethnic origin, religious beliefs, sexual orientation, or precise location. A recording can still contain whatever was said. Please do not put payment card numbers, government IDs, or health information into a session unless you mean to store it there.

Do we use your voice to identify you? No. Transcription turns speech into text. We do not build a voiceprint, and we do not use a recording to recognize who is speaking for advertising or for signing in.

Do we sell your personal information? No.

What are your rights? Depending on where you live, you may access, correct, delete, or export your personal information, and object to or restrict certain processing.

1. What information do we collect?

A library that stays on this computer

The installed app can keep sessions in a folder you choose. Recordings, transcripts, notes, and chats in that folder stay on that computer. We do not receive those files unless you sign in and turn on a cloud copy, or you use the website library.

If you paste an API key, it is stored in this app on this device. It is sent to the provider you selected (for example OpenAI, OpenRouter, Groq, Azure, or a server you named) so that provider can run the request you asked for. We do not receive a copy of that key.

Personal information you give us

If you create an account or use the website library, we collect information you provide, which may include:

  • Email address.
  • A password. Credentials are stored by our authentication provider. We do not keep a separate copy of your password in the application database.
  • The name and email address Google shares with us if you sign in with Google, plus a unique account identifier.
  • Sessions you store in the account: audio, video, photos, transcripts, notes, and chats.
  • Subscription status and which plan the account is on.
  • A device identifier stored on that device, so cloud sync can tell your computers apart.
  • A problem report, if you send one from Settings: the message you type, with the screen you were on, your device and browser, the app version, your plan, where your library is kept (the name of its folder, not the path), and the addresses of the last few network requests. It does not include your notes, transcripts, recordings, or API keys.

Information stored in the browser or app

We store a sign-in session and settings such as theme and layout in the browser's local storage, or in the installed app, so the product can keep working. That storage is necessary to run the Services. The website also uses a Google Analytics cookie to count pages opened and which installer download is chosen. In the EU, the UK, and Switzerland we ask before that cookie is set. We do not use advertising cookies. See the Cookies page.

Information from service providers

  • Supabase stores the account and, when you use the cloud library, the sessions in that account. Servers used for this product are in the United States.
  • Stripe processes a card payment when you are charged for a plan. We receive subscription status. We do not store your card number.
  • Google processes Google sign-in under Google's own terms.
  • Google Analytics receives the page address, and the installer file name when a download is chosen, plus a measurement cookie when that measurement is allowed. It does not receive recordings, transcripts, or notes.
  • OpenAI receives the audio or text needed for a transcription or assistant request that uses a paid plan's allowance. When you use your own key, that request goes to the provider you chose, not through us.

Payment information

We do not store payment card numbers or billing addresses. Stripe processes those payments.

Information you give us must be true, and you should tell us if it changes.

2. How do we process your information?

  • To provide the library, including recording, playback, transcripts, notes, and chat.
  • To create and authenticate an account, including email and Google sign-in.
  • To keep a cloud copy of sessions you choose to store in the account, and to sync that copy across devices you approve.
  • To run transcription and the assistant when you ask, either with your own key or with a plan's allowance.
  • To manage a paid plan, including which allowance applies.
  • To keep the Services reliable, and to investigate abuse and fraud.
  • To comply with law, and to respond to lawful requests.
  • To answer you when you contact us.
  • To count which website pages are opened, and which installer was chosen, after you agree where the law requires that.

3. What legal bases do we rely on?

We process personal information when we have a valid reason under applicable law, such as a contract with you, a legal duty, your consent, or a legitimate interest that is not overridden by your rights.

EU and UK users

If you are in the EU or the UK, the GDPR and UK GDPR require us to explain the legal bases we rely on:

  • Contract. We process account and library data to provide the Services you asked for.
  • Legal obligation. We process information where the law requires it, including records we must keep after a payment.
  • Legitimate interests. We process information for security, abuse prevention, and keeping the Services working, where those interests are not overridden by your rights.
  • Consent. Where we rely on consent, you can withdraw it. The analytics cookie in the EU, the UK, and Switzerland is set only after you agree. We do not use advertising cookies.

Canadian users

If you are in Canada, we process your information with your express or implied consent, which you can withdraw. In some cases permitted by Canadian law, including PIPEDA, we may process information without consent, such as for fraud prevention or legal compliance.

4. When and with whom do we share your personal information?

We share information with service providers that help us run How You Sound. We do not sell your personal information.

  • Hosting. Supabase stores account data and cloud sessions in the United States.
  • Payments. Stripe receives what it needs to charge a plan and to prevent payment fraud.
  • Sign-in. Google processes Google sign-in under its own terms and privacy policy.
  • Website measurement. Google Analytics receives page measurements, and which installer was chosen, when that cookie is allowed. We do not use it for advertising.
  • AI, when you use a plan allowance. The audio or text needed for that request is sent to OpenAI to produce the result. We do not send it to OpenAI for advertising.
  • AI, when you paste your own key. The request goes to the provider you selected, under that provider's terms. We are not a party to that provider's handling of the request.
  • Business transfers. We may share information in connection with a merger, sale of assets, financing, or acquisition.
  • Legal compliance and safety. We may share information to comply with law, respond to lawful requests, enforce our Terms, or protect users.

A recording that stays in a folder on your computer is not shared by us, because we do not have it. People who can open that folder on your computer can open those files.

5. Is your information transferred internationally?

Our servers and our providers' servers are in the United States. If you use the Services from another country, your information may be transferred to, stored, and processed in the United States, where data protection laws may differ from yours. We take measures designed to protect your personal information in line with this notice and applicable law.

6. How long do we keep your information?

We keep information for as long as needed for the purposes in this notice, unless a longer period is required by law.

  • Files in a folder on your computer stay until you delete them. We cannot delete a folder we cannot see.
  • An account and the cloud sessions in it stay until you delete them or ask us to delete the account.
  • After you delete the account, we may keep limited payment records for up to 90 days where tax, accounting, fraud prevention, or a legal claim requires it.
  • An API key you pasted stays on that device until you clear it or clear the app's storage.

When we no longer have a legitimate need to keep personal information, we delete or anonymize it. If a backup still contains it, we isolate that backup until deletion is possible.

7. Do we collect information from minors?

We do not knowingly collect data from or market to children under 18. By using the Services, you represent that you are at least 18, or that you are the parent or guardian of a minor and you consent to their use. If we learn that we have collected personal information from a child under 18, we will deactivate the account and delete that data. If you believe we have, contact contact@solucion.one.

8. What are your privacy rights?

Depending on your location, including the EEA, the UK, Switzerland, Canada, and certain US states, you may have the right to:

  • Request access to your personal information and a copy of it.
  • Request correction of inaccurate information.
  • Request deletion of your personal information.
  • Restrict or object to processing.
  • Request a portable copy of information you provided.
  • Withdraw consent where we rely on consent.
  • Not be subject to a decision based solely on automated processing that produces legal or similarly significant effects. How You Sound does not make that kind of decision about you. Transcripts and assistant replies can be wrong; they are not a decision about your legal rights.

To exercise these rights, email contact@solucion.one. We will verify your identity and respond in line with applicable law.

You can delete sessions yourself in the app. To delete the account, use the account deletion page or email us from the address on the account with the subject "Delete Account".

If you are in the EEA or the UK and you believe we are processing your information unlawfully, you can complain to your local data protection authority or, in the UK, the Information Commissioner's Office. Swiss residents may contact the Federal Data Protection and Information Commissioner. We ask that you contact us first so we can try to resolve it.

9. Do-Not-Track

Some browsers offer a Do-Not-Track signal. There is no consistent standard for how to respond, and we do not currently change processing based on that signal. We also do not use advertising cookies, so there is no ad profile on this site to opt out of.

Under California's Shine the Light law, we do not share personal information with third parties for their own direct marketing.

10. United States state privacy rights

If you live in California, Colorado, Connecticut, Delaware, Florida, Indiana, Iowa, Kentucky, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Tennessee, Texas, Utah, Virginia, or another state with a similar privacy law, you may have rights to know, access, correct, delete, and obtain a copy of personal information, to opt out of sale, sharing for cross-context behavioral advertising, or certain profiling, and to not be discriminated against for exercising those rights.

In the past 12 months, depending on how you use the Services, we have collected: identifiers such as email and account IDs; commercial information such as plan and subscription status; audio, video, and photos you put in a cloud session; and user content such as transcripts, notes, and chats. A library that never leaves your computer is not collected by us.

We do not sell personal information for money. We do not share it for cross-context behavioral advertising.

Email contact@solucion.one to exercise these rights. We will verify the request. An authorized agent may submit a request with proof of authorization. If we deny a request, you may appeal by replying to that decision. If an appeal is denied, you may contact your state attorney general.

11. Updates to this notice

We will update this notice as the Services and the law change. The updated version will show a new "Last updated" date. If we make a material change, we will notify you by email or in the app. The current version is at howyousound.com/privacy-policy.
